Cabin Rental Terms & Conditions:
AGE RESTRICTIONS: You must be at least 21 years of age to rent Little Wolf Cabins. The person who signs in must have proof of age and must reside in the cabin for the entire length of stay.
CANCELLATIONS AND REFUNDS: All reservations must be cancelled 14 days prior to arrival to receive a refund minus a $25.00 cancellation fee. Reservation not cancelled 14 days prior to arrival will not be refunded for any reason. No refunds will be issued for non-working amenities, malfunctions in equipment (i.e. hot tubs, television, DVD players, etc.). Guest also authorized agent to charge any expenses relating to intentional or reckless damage, cleaning of the unit beyond a normal cabin clean. Or theft of any property from the unit to the credit card on file.
PAYMENTS & FEES: All reservations require full payment at time of reservation. There will be no refund for early departure for any reason.
CHECK-IN: Check-in time is at 3 pm, early check ins may be available but are not guaranteed and are unlikely unless the cabin is available and ready. You may check-in at any time between 3:00pm – 11:00pm.
CHECK-OUT: All properties must be vacated by 10:00 AM on the day of departure. Failure to do so may result in a late checkout fee of $75 per hour.
CABIN RENTAL OCCUPANCY & AMENITIES: All cabins come equipped with linens and towels, along with basic kitchenware and utensils. We also supply soap, dish detergent, paper towels and toilet papers. We supply coffee & coffee filters. If you need maintenance during your stay, please contact 903.720.7629. Occasional power outages are not uncommon in the mountains and are the responsibility of the local utility companies. We are not responsible and cannot compensate for weather conditions.
PETS: NO pets allowed.
SMOKING: Smoking is prohibited inside cabin. Failure to observe shall result in $150 fine.
HOT TUBS: If your rental property contains a hot tub, you are responsible for operating the hot tub in a careful and safe manner. Little Wolf Cabins, LLC assumes no responsibility for any injury, loss, property damage or other occurrence associated with or resulting from the use of the hot tub. Guests with heart disease, diabetes, high or low blood pressure, or any serious illness and pregnant women should to enter the hot tub without consulting a physician. Children under the age of 12 are prohibited from using the tub unless accompanied and supervised by their legal guardian. If any residue from items such as bath products, food, alcohol, etc. is found in the tub, rental guest will be charged a cleaning fee up to $100.00. DO NOT SIT OR STAND ON THE HOT TUB COVER. If the cover breaks or is damaged, guest will be charged up to $500.00 for replacement.
LOST OR STOLEN ITEMS: Little Wolf Cabins, LLC is not responsible for lost, stolen or damaged items. If an item is left behind or lost by rental guest, Little Wolf Cabins, LLC can return such items to the rental guest at the rental guest’s expense.
INDEMNIFICATION: You hereby agree to indemnify and hold harmless Little Wolf Cabins, LLC and its related entities and their agents, employees, officers, directors, managers and servants, and the owner of the rental property, free from any claim or liability related to or in connection with the rental of the rental property, including, but not limited to, injuries, loss of property or damage to property, accidental or otherwise, incurred or suffered at or around the rental property from any causes whatsoever during your stay. You further understand and agree that neither Little Wolf Cabins, LLC nor the owner of the rental property shall be liable for any missing or stolen personal property or property left in the rental property by you or any of your guests, even in the event the property left in the rental property is picked up and returned by mail.
MISCELLANEOUS: Fireworks and firearms are not permitted on, in or around any rental property. Little Wolf Cabins, LLC reserves the right to enter and inspect any rental property without notice or the rental guest being present. Rental guest assumes the risk of injury or other losses relating to any recreational activities that rental guest and rental guest’s guests engage in and will hold Little Wolf Cabins, LLC, its related entities and the rental property owner harmless with respect thereto. Facsimile and other electronic copies of this manually executed Agreement shall be fully binding and effective for all purposes and shall be given the same effect as original signatures.
ATV/UTV Rental Terms & Conditions:
The rental fee includes two trail maps and a full tank of gas. MACHINE MUST RETURN WITH FULL TANK OF GAS OR A $30 FEE WILL BE ASSESSED.
HOURS: 9 AM – 6 PM
RESERVATIONS: Reservations can be made by phone or email.
DEPOSIT: We require full payment in advance.
DRIVERS: Must be 28 years or older and hold a valid driver’s license.
SECURITY/DAMAGE DEPOSIT: On the day of your rental, Little Wolf ATV Rental will preauthorize $1000 on your credit card. The full amount of the refundable deposit must be available in order to rent UTV. The renter is responsible for all damages incurred to the UTV while in the renter’s possession. The damage deposit is used to cover loss, damages, and expenses associated with the operation of your rental. The list of charges below is an example of the kinds of fees that may be incurred in the event of a loss. It is our policy to charge the credit card in full once damage has been observed.
* Parts to repair to tire, rim, body of vehicle, roof and accessories.
* Labor for repair.
* Loss of rental income (if the unit is not able to be rented due to damage, loss or needed repairs).
* Recovery fee for vehicle.
* Other accessories included but not limited to GPS, air compressor, rear view mirrors.
* Acceptable tire tread-wear is expected, however excessive wear/damage will be charged $250/per tire.
WHAT SHOULD YOU BRING:
* Sunglasses, googles, prescription eyewear.
* Cell Phone
* Drinks & snacks
* Bug spray & sunscreen
* Rain gear
* Several layers of clothing
LATE FEES: A $25 late fee will be assessed for every fifteen minutes the machine is returned late.
RESERVATION REFUNDS: Please call/text 903.918.3407 to cancel your reservation. Cancellations cannot be made online. All cancellations will be charged a $50 cancellation fee. Full refund minus the $50 cancellation fee if cancellation is made 48 hrs prior to reservation start time. A one-time courtesy reservation rescheduling is based on rental availability.
There is NO cancellations or refunds for weather. All of our UTV’s have roofs & windshields to keep most of the weather out.
FREE DELIVERY TO CABINS NEAR WOLF PEN GAP TRAILHEADS. We do NOT deliver outside of Mena.
PETS: Pets are prohibited to ride in the machines.
GPS NAVIGATION: Maprika GPS on ski map is a free mapping app for iPhones and Androids with more than 15,000 maps to download and available on the Apple Store or get it on Google Play (download the 2023 OMTAC map). Maprika GPS on ski map allows you to share your location with family and friends. Avenza Maps is also an offline map, GPS location, and is digital mastered on your phone or tablet. Stay safe and aware of where you are use these maps on your mobile devices and locate yourself without the internet or network connections.
